A creditors invoice will need to be added into Eclipse so that it can be paid. You should NOT create a creditors invoice for the purchase of a vehicle, the purchase of parts, or for a sublet, as the system will do this for you from their respective modules.
-
In the Accounts Payable tab, click Creditors Invoices.
-
Enter the Supplier, then click New.
-
Enter the Invoice Date, Invoice Number, Amount, and a Narration.
-
If the invoice is tax exclusive, untick the Tax Inclusive box in the top right.
-
Enter the associated GL Account. You can click the 3 dots to open your Chart of Accounts.
-
Enter a Reference and a Reference Type.
-
Tab across to pre-fill the Amount column.
-
Click Post.
The below example demonstrates how you can use a creditors invoice to link costs to a stock number or as an ordinary expense just by using different reference types.
The above example uses the Stock Inventory account and the Reference of SN (Stock Number). As a result of using these, this cost will show on the vehicle stock card as shown below.
If a different GL account is used, or the reference type of OT (Other) is used, this invoice would not display on the stock card.
